Privacy Policy
This Website Privacy Policy describes how Alliance Mental Health Counseling, PLLC (“Alliance,” “we,” or “us”) handles information associated with https://alliancemhc.com, its public pages, and general administrative inquiries. Clinical records and other protected health information are also addressed by Alliance’s separate HIPAA Notice of Privacy Practices. This policy does not replace that notice.
1. Scope and Separate Services
The public website may link visitors to SimplePractice for an initial inquiry, appointment request, intake, payment, or existing-client portal access. Those features are hosted separately. We may receive information from those services as part of providing care, in which case applicable privacy law and our Notice of Privacy Practices govern how the Practice uses that information. Outside websites linked from our Site have their own privacy policies.
2. Categories of Information We Collect
When you contact us, we may receive your name, email address, telephone number, the content of your message, and information you choose to provide. The website host may process technical information needed to serve and protect the Site, such as IP address, browser and device details, pages requested, and access times. We ask visitors not to send detailed clinical, financial, or identifying information through ordinary email or public website channels.
3. Sources of Information
Information may come directly from you, from your use of the public Site, or from service providers used for hosting and security. If you use a linked SimplePractice inquiry or portal, information entered there is handled through that service and may be available to the Practice for inquiry response, intake, scheduling, billing, or care.
4. How We Use Information
We use information as appropriate to respond to inquiries, assess whether we can offer services, communicate about scheduling and intake, operate and secure the Site, maintain records, comply with law, and protect the rights and safety of people and the Practice. Treatment-related uses and disclosures are addressed in the separate Notice of Privacy Practices.
5. Cookies and Similar Technologies
The website host may use technical measures needed for basic operation, security, and performance. If Alliance adds analytics, advertising pixels, session replay, embedded forms, or other tracking tools, we will update this policy. Visitors may use their browser settings to manage cookies, although some functions may not work as intended.
6. Scheduling Client Portal and Payments
The public Site does not itself provide a client account or take payment card details. Links to SimplePractice are used for inquiries and existing-client functions as configured by Alliance. If you enter payment information on SimplePractice, its payment services process that information; Alliance may receive payment status and records needed for billing. The Practice’s financial and HIPAA notices remain applicable.
7. Sharing and Disclosure
We may share information with providers that help operate the Site, respond to inquiries, maintain systems, and protect security, subject to applicable legal requirements. We may also disclose information when required or permitted by law. We do not grant advertisers a right to use clinical inquiry content for targeted marketing. Uses and disclosures of protected health information are explained in the Notice of Privacy Practices.
8. Retention
We retain administrative and website information as reasonably necessary for the purposes described here and in accordance with applicable law and Practice policies. Clinical records have separate retention requirements and are governed by the Notice of Privacy Practices and applicable law.
9. Security
We take reasonable steps appropriate to the nature of information we handle. No internet transmission or system can be guaranteed completely secure. For sensitive treatment communications, established clients should use the methods provided during intake, including the SimplePractice Client Portal when instructed. Do not use ordinary email or public website channels for emergencies.
10. Children and Teens
The public Site provides general information and is not designed to collect information directly from children under 13. A parent, guardian, or other authorized person seeking services for a minor should use the designated inquiry method and avoid sending detailed information about a minor through general email or social media. Privacy and consent rules for teen treatment depend on the circumstances and applicable law.
11. Privacy Rights and Choices
You may contact us to ask about information you provided through the public Site, request a correction, or raise a privacy concern. Rights concerning protected health information are set out in the Notice of Privacy Practices. We may need to verify identity and may retain information when law requires or permits. Requests will be handled under applicable law. Email: sean@alliancemhc.com.
12. California Residents
California privacy law may provide additional rights concerning certain personal information if and to the extent that the California Consumer Privacy Act, as amended, applies to Alliance and to the information at issue. These may include rights to know or access, delete, correct, opt out of sale or sharing, limit certain uses of sensitive personal information, and not be discriminated against for exercising applicable rights. Legal thresholds and exemptions, including those for certain medical information, may apply. California residents may submit questions or requests to sean@alliancemhc.com; we will assess requests under applicable law and may verify identity or an authorized agent’s authority.
13. Accessibility and Privacy Communications
If you need this policy or a privacy communication in an alternative format, or need help making a privacy request, contact us by phone or email. We welcome information about barriers that affect access to privacy information.
14. Policy Updates
We may revise this policy as our Site, services, or legal obligations change. The current version will show its effective date on the Site. Material changes to the HIPAA Notice of Privacy Practices are handled under the separate notice requirements.
